2.3 Writing Part 2 - REPORT

In part 2 of the FCE writing exam, one of the required documents is a report, and before we look at how to answer a typical exam question, we need to clarify what exactly a report is.


A report is usually written to describe a specific situation or a problem, such as the the bus service for community X for example.


The report then identifies elements of the problem, for example the price and the quality of service , and a report needs an introduction and a conclusion.


The introduction clearly tells the reader that the document is a report, by using the words:


This report will look at...


And the conclusion is written to suggest how changes could be implemented, and is written to give advice.


The main report needs to have a title which explains what the report is about, and for our example it could be:


A report into the bus service for community X


Every individual section then needs a sub heading, starting with the first paragraph, which has the subheading INTRODUCTION.


The second paragraph could have the subheading PRICE, while the next paragraph could have the subheading QUALITY. Finally, the conclusion is given the sub heading SUGGESTIONS AND RECOMMENDATIONS.


A report is a formal document and should be written in the third person.

Note: The size of the document is controlled by controlling the size of each paragraph. This document has 4 paragraphs, so a conscious effort was made to limit the size of each paragraph to about 40 words or between 3 or 4 lines of ten words each. Four paragraphs of 40 words each gives a document total of 160 words, which is within the required range of 140 to 190 words the question specified.

It cannot be emphasised strongly enough that a writing document should not be handed in as finished without carefully checking for spelling and unintended grammatical mistakes.


Losing marks unnecessarily due to carelessness or being in a hurry defeats the objective of trying to improve your writing skills, so get in the habit of finding a few minutes at the end to check your work before handing it in.
